Pilot tester guide

About 20 minutes. Demo notices (marked Demo) are fictional.

As school staff

  1. 1

Sign in with your work email

Use your @slu.edu address. Clerk sends a sign-in code. EdBid never sees a password.

  2. 2

    Set up a sandbox institution

Go to Join your institution. Name it “SLU Pilot Sandbox” so it's clearly a test, with type University and domain slu.edu. You become its admin. Colleagues who sign in with @slu.edu can ask to join, and you approve them.

  3. 3

    Add a department or club

In Members & settings, add a department (for example, Facilities) or a student club, and set an approval threshold such as $10,000, SLU's competitive-bid level.

  4. 4

    Post a quick quote

Post an opportunity → Start from a template → “Quick Quote: supplies or equipment”. Set a deadline 10–15 minutes out so you can see bids unseal during the test.

  5. 5

Watch bids arrive sealed, then open them

You'll see only a count until the deadline. After it, open the bids, compare them (lowest first, with vendor badges), and award one.

  6. 6

    Send and sign the contract

Send the generated agreement (or upload your own PDF). The vendor signs, then you countersign. SLU's real contracts stay in Agiloft. This shows what vendors experience.

  7. 7

    Reuse it

Duplicate the notice or save it as a template, the way a department would repost the same purchase every term.

As a vendor

  1. 1

Sign in with a personal email

Use a second browser or private window, so you can play the vendor while a colleague plays SLU.

  2. 2

Register as a freelancer or business

Register to bid. Only the last 4 digits of a tax ID. Upload only sample documents during the pilot, never a real W-9.

  3. 3

Bid on the sandbox quick quote

Enter a price, attach a sample file, accept the 1% success fee terms (no fee is charged during the pilot), and save your receipt.

Use the suggestion box for anything confusing, missing, or wrong. It goes straight to the EdBid team. Pilot terms: no fees are collected during the pilot, and nothing you do here creates a real purchase or contract.
